Why a Local Guide Matters: Successfully Navigating EHR Integration

People are traveling to new destinations now more than ever. When travelling, one of the decisions you make is whether to sightsee without a guide or enlist people familiar with the city to show you around. Exploring a new city on your own has its advantages, and you'll likely have a good time, but using a local guide will ensure you have a great time and don't take any missteps along the way. Local guides know the dos and don'ts of the area, the best places to eat, speak the local language, and will help you get the most out of your time in this uncharted territory!
 
Integrating an enterprise resource planning (ERP) system with your electronic health record (EHR) system isn't so different from visiting a new city. You can integrate the two systems using your existing project resources and the systems will work well together. But, if you obtain a local guide who is familiar with the two systems, speaks both languages, and understands the common pitfalls and how to avoid them, you can set yourself up for smoother sailing and minimize adverse effects for end users.
 
On a recent Workday implementation, a client integrated their revenue cycle management (RCM) systems, Point Click Care (PCC), and David Klein Systems (DKS), with Workday. As part of this project, they enlisted the services of an Avaap local expert to help guide them along the way. To understand how their “guided” integration went, we asked them a few questions about their experience. 

Q: How did having a dedicated RCM integration resource help (or hurt) your Workday implementation?

A: It was a huge help because she was familiar with integrating billing systems into Workday and was able to guide us through every step of the process. She took on putting the Workday worktags into proper format needed for PCC and DKS integration, (hours and hours of work.) Additionally, she greatly assisted with the conversion and prepared the PCC and DKS chart of accounts replacement, including joining weekly meetings with PCC to ensure the process goes smoothly. She also guided us through the testing phases and walked us through correcting any errors.   

 

Q: What was your biggest accomplishment?

A: By the time go-live came around, we were operational and felt empowered to support our team through any errors. Our team definitely felt this and had a very positive experience transitioning into Workday.  

 

Q: Anything else you'd like to share? Good, bad, or ugly!

A: From what we heard, the RCM Integration was the most successful from all areas of the Workday implementation because our dedicated RCM resource, Nicole, walked  us through the steps of the process and directed us to the correct party when something was not in her area of expertise. She really took responsibility to make sure a plan was in place to get through every step of the process and brainstormed to come up with different scenarios to prepare us through all of them. It was a real pleasure working with her and we're so happy we had her on our team!!! 

 

EHR integration is vital for healthcare organizations to eliminate revenue leakage and make decisions off real-time information.
